Work schedule template — 40 free employee and staff schedule examples

A good work schedule tells everyone when and where they work and shows you whether the week’s jobs are covered without surprise overtime. This page covers what to include, how to build a schedule in six steps and the mistakes to avoid. Then it gives you 40 copy-paste blocks: weekly, rotating, route, salon, crew, on-call, holiday and part-time schedules; availability, time-off and swap forms; schedule messages to staff; scheduling policies; hours and labor cost math; and messages to clients about team changes.

General business information. Wage, break and scheduling rules vary by state and city.

What a good work schedule does

A work schedule tells each employee when and where they work, and tells you whether you have enough people for the jobs you’ve booked. For a small service business, it also has to match people to clients and routes, keep labor costs in line with revenue, and avoid surprise overtime.

The best small-business schedules are boring: posted at the same time every week, in the same place, built from written availability, with clear rules for time off and swaps. Employees can plan their lives, and you spend less time on last-minute texts.

What to include

How to build a schedule in 6 steps

Mistakes to avoid

A worked example

A four-person cleaning company used to text schedules each Sunday night. Two or three people a week said they couldn’t make it, and the owner spent Monday mornings rescheduling clients.

The owner collected written availability, moved to a weekly table posted every Monday for the week two weeks out, set a Friday deadline for time-off requests, and rotated Saturdays. Within a month, last-minute changes dropped from about 3 a week to less than 1, overtime fell from 9 hours a week to 2, and clients stopped getting Monday-morning reschedule texts.

Approving time off (reply)

Confirm dates in writing.

Hi Ana, your time off for Mon Dec 28 – Thu Dec 31 is approved. Combined with the Christmas and New Year closures, you’re off Dec 24 at noon through Sun Jan 3, back Mon Jan 4. Enjoy!

Denying or adjusting a request (reply)

Explain and offer an alternative.

Hi Luis, I can’t approve Dec 21–23 off because Maria and Ana are already out and we’d have just one team for 9 jobs a day. I can approve Dec 28–30 instead, or Dec 21–22 if Chris covers your Wednesday. Which works better?

Holiday time-off policy

Post it before the requests start.

HOLIDAY TIME-OFF POLICY 2026
• Requests for Dec 21 – Jan 3 are due by Fri Nov 27.
• If more than 2 people request the same day, we approve by date received, then rotate fairly next year.
• At least 2 teams must work Dec 21–23 and Dec 28–30.
• Approved schedules posted Mon Nov 30.

Schedule messages to staff

Texts and posts for your team chat or scheduling app.

Posting the weekly schedule

Same day, same place, every week.

Team: next week’s schedule (Nov 16–22) is posted in the app and pinned here. Please check your days and reply 👍 by Wednesday. Any problems, tell me by Thursday so I can fix it before the weekend.

Schedule change notice

Say what changed and why.

Hi Chris, a change for Thursday: the Lee move-out moved to Friday, so you’re now 9–1 Thursday (was 9–3) and 9–3 Friday (was off). Total hours stay 22. Can you confirm?

Call for coverage

For the whole team, first come first served.

Shift available: Sat Dec 12, 9–1 (Luis’s shift, approved swap fell through). First to reply gets it. Chris, check your hours first. You’re at 22.

Last-minute sick coverage

Quick and grateful.

Ana is sick today. 🤒 Can anyone cover her 8–2 at the Patel and Nguyen homes? Paid from 8 regardless of arrival time. Reply ASAP. Thank you!

Shift reminder

The night before.

Reminder: you’re on tomorrow 8–4:30 with Maria, starting at the Kim home (18 Pine St). Van 1 keys in the lockbox. Thanks!

Holiday schedule announcement

Post weeks ahead.

Holiday schedule is up! Closed Fri Dec 25 and Fri Jan 1 (both paid holidays). Half day Thu Dec 24 (8–12); Thu Dec 31 is 8–2. Time-off requests for Dec 28–30 are due Fri Nov 27.

Overtime notice

Only with approval, in writing.

Heads up: with the Rivera deep clean added, Maria and Luis are approved for up to 4 hours of overtime this week (Sat 9–1). Overtime is paid at 1.5× for hours over 40 in the week.

Asking for availability updates

Twice a year or before a busy season.

Hi team, please update your availability for January–June in the app by Fri Dec 11 (school schedules, second jobs, childcare changes). It helps me build a schedule that works for you.

Scheduling rules and policies

Short policy text you can add to your handbook.

When the schedule is posted

Predictable for everyone.

Schedules are posted every Monday by 5 pm for the week starting 2 weeks later. Changes after posting are made only with the employee’s agreement, except emergencies.

Breaks and lunches

Write down your actual practice and follow your state’s rules.

Shifts longer than 6 hours include an unpaid 30-minute meal break, taken before the 5th hour ends. Shifts of 4+ hours include a paid 10-minute rest break per 4 hours. Check your state law; some states set specific requirements.

Overtime approval

Prevents surprise payroll.

Overtime must be approved by the owner before it’s worked. Non-exempt employees are paid 1.5× their regular rate for hours over 40 in a workweek (and over 8 in a day where state law requires it, as in California). Our workweek is Monday 12:00 am to Sunday 11:59 pm.

Shift swaps

Clear and fair.

Swaps are allowed when both employees agree in writing and the manager approves at least 24 hours before the shift. The employee who picks up the shift is responsible for it.

Fair weekend and holiday rotation

Rotate the hard days.

Saturday and holiday shifts rotate so no one works more than 2 Saturdays a month or the same major holiday two years in a row, unless they ask to.

Predictive scheduling note

Some places require advance notice and pay for changes.

A few states and cities, including Oregon, Seattle, San Francisco, New York City, Chicago and Philadelphia, have predictive or fair scheduling laws for certain (usually larger) retail, food and hospitality employers. They can require posting schedules up to 14 days ahead and extra pay for late changes. Check whether your business is covered.

Hours and labor cost math

Quick formulas to check your schedule before you post it.

Shift hours with an unpaid break

Do the subtraction every time.

Shift 8:00 am – 4:30 pm = 8.5 hours on the clock − 0.5 unpaid lunch = 8.0 paid hours.
Shift 9:00 am – 3:00 pm = 6.0 hours; with a 30-min unpaid break = 5.5 paid hours.

Weekly labor cost

Hours × rate, plus overtime.

Maria: 40 hrs × $22.00 = $880.00
Luis: 36 hrs × $20.00 = $720.00
Ana: 32 hrs × $20.00 = $640.00
Chris: 22 hrs × $18.00 = $396.00
Weekly wages: $2,636.00 (before payroll taxes and workers’ comp)

Overtime pay example

For non-exempt hourly employees.

Luis works 44 hours at $20.00/hr.
Regular: 40 × $20.00 = $800.00
Overtime: 4 × $30.00 (1.5 × $20) = $120.00
Total: $920.00

Labor as a percentage of revenue

Check if the week makes sense.

Revenue booked this week: $8,200.00
Wages: $2,636.00 → 32.1% of revenue
Rough add-on for payroll taxes and workers’ comp (~12%): $316.32 → total labor ~$2,952.32 = 36.0%

Coverage check by hour

Count people on the floor.

Sat 9–1: Luis, Ana, Chris = 3 people → 2 teams? No. Teams of 2 need 4 people. Fix: book one solo job, or add a 4th person.

Spreadsheet formulas

For Google Sheets or Excel.

Paid hours (start in B2, end in C2 as times, break minutes in D2):
=(C2-B2)*24-D2/60
Weekly total for a row: =SUM(E2:K2)
Overtime hours: =MAX(0,L2-40)
Pay: =MIN(L2,40)*M2 + MAX(0,L2-40)*M2*1.5

Telling clients about schedule and team changes

For service businesses where clients see the schedule change.

New team member on their visit

Introduce before they arrive.

Hi Mrs. Kim, a quick note: Chris will join Maria on your visit Thursday while Luis is on vacation. Chris has been with us two years and has your notes about the cat and the alarm. Same time, same checklist.

Regular person moving to another route

Warm handoff.

Hi [name], Ana is moving to our new Tuesday route starting Jan 5. Starting your next visit, Maria’s team will be at your home on Thursdays. Same time, and Maria has all your notes. Let me know if you have any questions!

Holiday schedule change for a recurring client

Specific dates.

Hi [name], with Christmas on Friday, your Dec 25 visit moves to Wed Dec 23 at the same time. Your Jan 1 visit moves to Mon Jan 4. Reply if either doesn’t work.

Shorter hours in winter

For seasonal businesses.

Starting Mon Dec 14, our crews work 8:00–3:30. If your visit was after 3:30, we’ve moved it to [time]. Thanks for your flexibility this winter!

Staff sick, visit moved

Quick and apologetic.

Hi [name], I’m sorry. Our team member is sick today, so we can’t make your 1:00 visit. Can we come Friday at 1:00 or Saturday at 9:00 instead?

Fixed team as a selling point

For welcome messages.

You’ll have the same 2-person team each visit whenever possible: Maria and Luis. We schedule the same team so they learn your home. If someone is out, we’ll tell you who’s coming before the visit.

Common questions

How far ahead should I post the schedule? At least one week; two is better. If you’re covered by a predictive scheduling law, the rule may be 14 days.

What’s the best free work schedule template? A simple spreadsheet works for up to about 15 people: names in rows, days in columns, a total column. Copy the weekly table above into Google Sheets or Excel and use the formulas in the hours and labor cost section.

Do I have to pay overtime? Under federal law, non-exempt employees get 1.5× their regular rate for hours over 40 in a workweek. Some states, like California, also require daily overtime. Independent contractors aren’t scheduled like employees. See the contractor agreement page.

How do I handle time-off requests fairly? Set a deadline, approve by date received, cap how many people can be off at once, and rotate holidays year to year. Write the rule down.

Should I use scheduling software? Once you have more than a handful of people or many swaps, an app saves time. The rules on this page apply either way.

How to use this template

Copy the weekly table, fill in names and shifts, and check the totals with the formulas. Collect availability with the form above, publish your time-off and swap rules, and post the schedule at the same time each week. Track actual hours on a timesheet, and tell clients about team changes before the visit.
