Overdue invoice / past due payment reminder email & text
An unpaid invoice needs a calm, clear reminder — not a threat on day one. This page covers when to nudge, what to include, mistakes that damage relationships, and 28 copy-paste texts and emails: gentle first reminder, second reminder with amount and date, payment link again, final notice before pause, pause scheduling until paid, payment-plan offers, by trade, and replies when they say they already paid.
Names like Alex and Jordan are stand-ins. Always include the invoice number or date, the amount, and how to pay. Never invent late fees you didn’t disclose up front.
A few days after the due date for the first gentle nudge — not the same afternoon the invoice aged one day, unless your terms say same-day.
About a week later for a second reminder with amount, original due date, and payment link again.
Before you stop work or pause scheduling — send a clear final notice so they’re not surprised.
After they claim they paid — check your processor, then reply with what you see (received, pending, or not found).
Not for a brand-new invoice. Use Invoice sent when you’re first delivering the bill. Not for a card that just declined — use Card declined.
What to include
Invoice number or service date so they can find it in their email.
Amount due and original due date.
How to pay (link, Venmo, portal, check address) — don’t make them dig.
A polite assumption of oversight on the first nudge (“in case this got buried”).
On later notices: what happens next (work pauses, recurring slot released) stated as a fact, not a threat.
Mistakes that damage trust
Aggressive day-one language. “Pay immediately or else” on a two-day-old invoice burns goodwill you’ll need if they were traveling.
No amount or no link. Making them hunt for the PDF guarantees another week of silence.
Surprise late fees you never put in the contract or invoice terms.
Public shaming (group emails, tagging on social, telling mutual clients). Keep collections private.
Continuing to book new work unpaid without a conversation — then exploding later. Pause clearly or don’t.
Ignoring “I paid” claims. Check the processor first; then confirm or send the exact name/email the payment should come from.
A worked example
Alex’s $180 cleaning invoice was due Oct 1. On Oct 4 Jordan sends the gentle first nudge with the invoice number and Venmo link. No reply.
On Oct 11 Jordan sends the second reminder with amount, due date, and link again. Alex replies “thought I paid — checking.” Jordan waits two days, still nothing.
On Oct 18 Jordan sends the final notice: scheduling pauses until the balance clears, with a payment-plan option linked. Alex pays the same day. Jordan confirms with a short payment-received text and keeps the Thursday slot.

How to send it
Copy one message, add the real invoice number, amount, due date, and payment link, and send from your own phone or email.
Keep first nudges soft. Escalate only after silence. When they pay, send a short payment-received note and move on — don’t lecture.
