A receipt is the shortest business document you’ll write and the one clients keep the longest. It proves they paid, it closes the job, and in January it answers “what did I pay you last year?” in one email. This page gives you a plain-text payment receipt template you can paste into a text, an email, or a document, plus deposit, cash, check, partial-payment, payment-plan, refund, and year-end receipts, examples for nine trades, the lines worth adding, and replies for when a client asks for a copy. No account, no download, nothing to buy.
Sample wording only. Names, numbers, and amounts are examples. What a receipt must show for sales tax, and how long you must keep records, depends on your state and situation — this page is not tax or legal advice; ask your accountant or state tax office.
Your business name and contact details — the name the client will recognize on their bank statement, plus phone or email.
A receipt number and the date paid. The date paid is not always the invoice date or the service date; use the day the money arrived.
Who paid. If someone else paid for the client (a parent, a landlord, a company), name the payer and the service address.
What it was for, in plain words, and the invoice or estimate number it settles.
Amount and method — “$160 by Zelle,” “check #1043,” “card ending 4417.” Never write a full card number.
The balance after this payment. “Balance due: $0.00” is the most reassuring line on the page. If money is still owed, give the amount and the due date.
Tax, tip, deposit, and refunds on their own lines, so the job total is still easy to read.
Receipt vs invoice vs statement
An invoice asks for money: what’s owed, by when, and how to pay (see the invoice template). A receipt confirms money arrived: how much, when, how, and what’s left. A statement lists many invoices and payments over a period — a month or a year — and is what clients want for their own budgets or records.
You can turn a paid invoice into a receipt by adding “PAID” with the date, method, and a zero balance, and many invoicing apps do that automatically. What matters is that the client gets something in writing the same day the money lands. For a quick thank-you text to go with it, use Payment received confirmation.
Cash receipts
Always give a receipt for cash, at the time of payment. It’s the only record that the money changed hands, for you and for the client.
Write the amount in numbers and words (“$240.00 — two hundred forty dollars”). It prevents misreading and alterations on paper receipts.
Keep a copy: a carbon-copy receipt book, a photo of the paper receipt, or the text you sent. Log cash the same day in whatever you use for bookkeeping.
Count it in front of the client and say the total out loud before writing the receipt.
For large cash payments, there can be extra reporting rules for businesses; ask your accountant if you regularly take thousands in cash.
Numbering and keeping receipts
Use one running sequence that never repeats, such as R-2026-001, R-2026-002, and use RF for refunds. Put the invoice number on the receipt so either one leads to the other. If you reissue a receipt (a new payer name, a corrected date), keep the same number and say it replaces the earlier version.
Keep a copy of every receipt you issue, along with your invoices and bank records, in one folder per year. US tax guidance generally says to keep records that support your income for at least three years, and longer in some situations — ask your accountant what applies to you. A folder of emailed receipts with the receipt number in each subject line is searchable in seconds.
Mistakes to avoid
No balance line. A receipt for $500 on a $1,400 job without “remaining: $900” invites “I thought that was the whole thing.”
Wrong date. Use the payment date, not the day you got around to writing the receipt.
Tip folded into the job price. It makes the job look more expensive and muddles your own records.
Calling something non-refundable after the fact. A receipt can repeat terms the client agreed to; it can’t create new ones. See Deposit request for wording to use before they pay.
Full card or bank numbers on the receipt. Last four digits only.
No receipt for a refund. When money goes back, write it down just as carefully — see Refund issued.
Sending receipts by text or email, and keeping copies
Payment app receipts aren’t enough on their own. Venmo, Zelle, Square, and PayPal show the amount and date, but not what the payment was for. Send your own receipt with the service, date, and address of the job.
A PDF beats a photo. Write the receipt in your invoicing app, a document, or a spreadsheet, and export it as a PDF. Name the file with the number and client: R-2026-0142-Kim.pdf.
Keep a copy of every receipt you send, in one folder per year. The IRS generally says to keep records that support your tax return for at least 3 years after you file, and longer in some cases (for example, 6 years if income was underreported by more than 25%). Ask your tax preparer what fits you.
Match receipts to deposits. Once a month, check that every receipt matches money that actually arrived in your bank account. It catches bounced checks and app payments that never cleared.
Send it the same day. A receipt that arrives with the payment confirmation is the one clients file. One sent weeks later gets lost or questioned.
A worked example
Sam hires Alex, a solo handyman, to repair a deck for $1,400. Sam pays a $500 check on Nov 12. That evening Alex sends the partial payment receipt above — $500 received, $900 remaining, due Nov 30 — and a one-line text saying the same thing. On Nov 28 Sam pays the rest by Zelle; Alex sends a receipt that lists the earlier $500 (with its receipt number), the $900 today, and “BALANCE DUE: $0.00 — paid in full.”
In January, Sam’s landlord asks for proof of the repair cost. Sam forwards the two emails; the receipt numbers, dates, and invoice number line up, and nobody has to call Alex. That’s the whole job of a receipt.

Client asks for an itemized receipt (insurance, reimbursement, landlord)
Itemize and add the details they need; don’t just resend the total.
Happy to, Jordan — I’ll send an itemized receipt today with labor and parts on separate lines, the job address, the date of service, and my business details. If your insurer or landlord needs anything else on it (a claim number, a unit number), let me know and I’ll add it.
Client asks for the receipt in a company name
Reissue it with the same number and a note.
Sure — I’ve reissued receipt #R-2026-118 with “Kim Property Management LLC” as the payer. Same amount and date; the old version is replaced by this one.
Correcting a receipt with a mistake
Own it, fix it, and say what changed.
Sorry, Alex — the receipt I sent had the wrong date (Nov 13 instead of Nov 3). The corrected receipt #R-2026-118 is attached; nothing else changed.

Common questions
Can a text message be a receipt?
For most small jobs, yes: a text with your business name, the date, amount, method, what it was for, and the balance is a written record both of you keep. For larger jobs, or if the client needs it for reimbursement, send an email or PDF version too.
Do I have to give a receipt?
Rules depend on your state, the payment method, and the amount. It’s good practice to give one for every payment, and always for cash. Clients who get receipts pay faster next time and dispute less.
Should my receipt show sales tax?
If you charged sales tax, show it as its own line. Whether your service is taxable, and what the receipt must show, depends on your state — ask your accountant or state tax office. This page is not tax advice.
A client wants their annual total for their taxes. What do I send?
A year-end payment summary like the one above: your details, theirs, the period, the payments, and the total. Stick to what was paid; don’t tell them what they can deduct. If a care or tutoring client asks for your taxpayer ID, an EIN lets you avoid giving out your Social Security number.
What’s the difference between a deposit receipt and a final receipt?
A deposit receipt confirms money that holds a date and says how it will be applied. The final receipt shows the job total, subtracts the deposit with its receipt number, and ends at a zero balance.
How to use this template
Copy the full template into your notes app or a document and fill in your business details, payment methods, and footer once. Save it as your starter. For each payment, change only the number, date, payer, description, and amounts.
If you use an invoicing app, turn on its automatic receipts and use this page for the cases apps handle badly: cash, partial payments, deposits applied, refunds, and year-end summaries. Then send a short thank-you from Payment received if you like.
