Customer statement template — 40 copy-paste statements, aging lines and messages

A statement of account shows a client everything on their account at once: invoices, payments, credits, the balance and how overdue it is. This page explains statements vs. invoices, the types of statements and the mistakes that slow payment, then gives you 40 copy-paste blocks: balance-forward, open-item, recurring, payment-plan, year-end, credit and paid-in-full statements, aging and remittance lines, an A/R aging report, credit memos and reconciliation, layouts by business, and messages for sending statements.

General business information, not legal or tax advice.

Statement vs. invoice

An invoice bills one job or one period: “here’s what you owe for this.” A statement of account (customer statement or account statement) summarizes the whole account over time: invoices, payments, credits and the balance, often with how old each part of the balance is.

Statements help when clients have more than one invoice open, when you bill recurring service, when a business client pays many invoices at once, and at year end. They don’t replace invoices for clients who need an invoice per job (most businesses and property managers), but they catch missed invoices and misapplied payments before they become arguments.

Types of customer statements

Statement mistakes

A worked example

A lawn care company invoiced after every visit and had about $2,500 outstanding at any time, spread over 20 customers. Many were small balances clients had forgotten. They started sending a balance-forward statement with an aging line on the last business day of each month and an open-item statement to their HOA client.

Within two months, outstanding balances fell by about half. The HOA statement turned up a $640 invoice that had never reached accounts payable, and one customer’s check had been applied to the wrong account. They now run an aging report on the 1st and 15th and call anyone over 30 days personally before sending an overdue reminder.

Count from the due date, not the invoice date.

Invoice #1271: dated Oct 15, Net 30 → due Nov 14. On Nov 30 it is 16 days past due (Nov 14 → Nov 30), so it sits in the 1–30 column, even though the invoice is 46 days old.

Client says they already paid

Assume good faith; ask for details.

Thanks, Pat! I don’t see it yet, but it may be in transit or applied to a different account. Could you send the date and the last 4 digits of the card, or the check number? I’ll match it up today and send an updated statement.

Gentle note on a past-due balance

For a good client who slipped.

Hi [name], a quick heads-up that your statement shows $380.00 from the Nov 16–17 work as past due. No stress, these things slip. Here’s the pay link: [link]. If you’d like to split it, I’m happy to.

Unapplied payment question

When you can’t tell what a payment was for.

Hi [AP name], we received $200.00 on Nov 25 by ACH without an invoice number. Our policy is to apply it to the oldest open invoice (#1294) unless you’d like it applied elsewhere. Please let me know by Friday, Dec 4.

Overpayment: refund or credit?

Give the client the choice.

Hi [name], your account has a $45.00 credit (your check covered a little more than the last visit). Would you like us to apply it to your next booking, or refund it? Either is fine.

Year-end statement email

Subject: Your 2026 statement from [Business]

Hi [name], attached is your 2026 summary: 38 sessions, $2,280.00 paid in total, $0.00 balance. Many families ask for this at tax time. Thank you for a great year!

Reply to a client’s AP reconciliation request

Businesses often send these at year end.

Hello, attached is our open-item statement for [Lakeview HOA] as of [Dec 31, 2026], with invoice dates, PO numbers and amounts. Our records show a total open balance of $[X]. Please let me know of any differences and we’ll reconcile them right away.

Switching from per-visit invoices to monthly statements

Announce it a few weeks ahead.

Hi [name], starting in January we’ll send one statement at the end of each month instead of an invoice after every visit. You’ll see every visit, any add-ons and your total, with payment due 14 days after the statement date. Card-on-file clients don’t need to do anything. Questions? Just reply.

Common questions

How often should I send statements? Monthly is standard, on the same day each month. Business clients may also ask for one at quarter or year end.

Do I still need invoices if I send statements? Usually yes for business clients and one-off jobs. For recurring home clients, a monthly statement can replace per-visit invoices if you say so up front.

Can I charge a late fee on a statement? Only if it’s in your agreement and allowed by your state, and only on amounts that are actually past due.

What’s a credit memo? A document that reduces what a client owes, such as for a discount, a return or a service problem. It keeps the original invoice unchanged.

What should I do with a credit balance? Ask the client whether to apply it to future work or refund it, and note the choice. Some states have rules about long-held unclaimed credits.

How to use this template

Pick balance-forward for homeowners and recurring clients, open-item for businesses. Add an aging line, a remittance slip and your payment options, and send it on the same day each month with a short email.

Run an aging report for yourself on the 1st and 15th, handle the oldest balances personally first, and use credit memos and adjustments instead of editing old invoices. When a payment arrives, send a payment received note or a receipt.
