Purchase order template — 40 copy-paste POs, terms and supplier messages
A purchase order puts an order in writing before anything is delivered: items, prices, delivery and payment terms, under a number everyone can match. This page explains when a small service business needs POs, both the ones you send suppliers and the ones commercial clients send you, and the mistakes that cost money, then gives you 40 copy-paste blocks: purchase order templates, terms lines, client-PO invoicing messages, item lists by trade, a PO log, three-way match and receiving checklists, and supplier messages.
General business information, not legal or tax advice.
A purchase order (PO) is the buyer’s written order to a seller: what you want, how many, at what price, where and when to deliver it, and on what payment terms. It has a number that the seller puts on its packing slip and invoice, so the buyer can match what was ordered, what arrived and what is being billed.
For a small service business, POs come up in two ways. You send them to suppliers, rental yards and subcontractors so orders, prices and delivery are clear. And commercial clients (property managers, schools, HOAs, offices) send you a PO before work, and won’t pay an invoice that doesn’t show it. This page covers both.
A purchase order is different from a work order (instructions for doing a job), an estimate or quote (the seller’s price), and an invoice (the seller’s bill after delivery).
When a small business needs one
Any order you can’t easily return: special-order tile, custom cabinets, equipment, printed items.
Orders delivered to a job site where someone else receives them.
Several people ordering on the same supplier account. The PO shows who approved what.
Job costing: a job number on every PO puts materials on the right job.
Commercial clients: ask whether they need a PO before you schedule the work. It’s the most common reason a finished job doesn’t get paid on time.
Purchase order mistakes
Ordering by phone with no PO, then arguing about the price on the invoice.
Changing an order verbally instead of issuing a numbered revision.
Paying supplier invoices without checking what was actually received.
Starting commercial work before the client’s PO arrives, then waiting months to be paid.
Doing extra work over the PO amount without asking for a PO change first.
Special-ordering for a client without the client’s written approval of the non-returnable item.
A worked example
A painting company with two crews ordered paint by text and phone on one supplier account. Each month a few items were billed at list price instead of the quoted price, and one $480 order was paid twice. They started sending a PO for every order over $200, with the quote number and job number on it, and having the crew lead sign a receiving report.
At the end of the first month, the three-way match caught two price errors ($64 credited) and a short shipment. Job costs were finally accurate, which showed that one repaint job was losing money on materials, so they raised that line on their price list. On the commercial side, asking “do you need a PO?” before scheduling cut the HOA’s payment time from about 60 days to Net 30.

Purchase order lines and terms
Lines to add to any PO so there are no surprises on delivery or on the invoice.
PO numbering
A simple system you can search later.
PO numbers: [company initials]-[year]-[sequence], e.g., FCP-2026-118. Never reuse a number. Revisions add “Rev 1, Rev 2.” Write the job number on every PO so costs land on the right job.
Delivery and receiving line
Where, when and who signs.
Deliver to [job site address] between [7am and 10am], [weekdays only]. Call [Rico, 555-0142] 30 minutes before arrival. Material must be received and signed for by our staff; deliveries left unattended are at the vendor’s risk.
Payment terms line
Common terms and what they mean.
Terms: [Net 30] — invoice due 30 days from invoice date. [2/10 Net 30] — 2% discount if paid within 10 days, otherwise full amount due in 30. (Taking a 2/10 Net 30 discount is worth about 37% a year in interest, so pay early when you can.)
Quote and price reference
Locks the price to what you were quoted.
Prices per vendor quote [Q-77310] dated [Nov 12, 2026]. Invoice at a higher price will be short-paid to the quoted price unless a revised PO is issued first.
Substitution line
Stops a “close enough” product showing up.
No substitutions without written approval from [name]. If an item is unavailable, contact us before shipping with the alternative, price and lead time.
Partial shipments and backorders
Bill for what ships, not what’s ordered.
Partial shipments are [accepted / not accepted]. Invoice only for items shipped. Backordered items must be confirmed with an expected ship date within [2] business days; we may cancel backordered items without charge.
Inspection and returns line
Gives you time to check before you own the problem.
Goods are subject to inspection within [3] business days of delivery. Damaged, wrong or short items will be noted on the packing slip and reported within that time; vendor to replace or credit at no cost. Special-order items are non-returnable unless defective.
Sales tax line
Tax rules for contractors vary a lot by state.
Sales tax: [taxable at the vendor’s rate] / [exempt — resale certificate #____ on file] / [exempt — tax-exempt client project, certificate attached]. (Whether a contractor pays sales tax on materials or collects it from the client depends on your state; ask your accountant.)
When a commercial client sends you a PO
Property managers, schools, HOAs and businesses often pay only against a purchase order. These blocks help you get paid on time.
Asking for a PO before scheduling
Ask early: no PO number often means no payment.
Hi [name], thanks for approving the quote for the lobby window cleaning ($[640]). Before we put it on the calendar, does your office need to issue a purchase order? If so, please send the PO number and we’ll include it on our invoice so it goes straight through accounts payable.
PO acknowledgment
Confirm the PO and any differences right away.
Hi [name], we received PO #[4500128834] for [quarterly window cleaning, $640.00]. Confirming: service on [Tue Dec 1, 2026], invoice to [ap@client.com] referencing the PO, terms Net 30. One note: the PO shows [monthly] service, but our quote was for [quarterly]. Could you confirm which is correct?
Invoice line referencing the client’s PO
Put it where accounts payable looks first.
INVOICE #[1288]
Bill to: [Lakeview HOA], Attn: Accounts Payable
Customer PO #: [4500128834] PO line: [1]
Description: [Quarterly interior/exterior window cleaning, clubhouse, completed Tue Dec 1, 2026]
Amount: $640.00 Terms: Net 30 (due Thu Dec 31, 2026)
Work will exceed the PO amount
Ask for a PO change before doing extra work.
Hi [name], while cleaning the clubhouse windows we found [hard-water staining on 6 east-side panes] that needs a restoration treatment: $[180] extra. That would put the job over PO #[4500128834] ($640). Could you issue a PO change for $180 before we do it? Otherwise we’ll finish the original scope only.
Invoice rejected for missing PO
Fix and resend the same day.
Hi [AP name], thank you for letting us know. Here is invoice #[1288] reissued with PO #[4500128834] on it. The amount and due date are unchanged. Could you confirm it’s now in the payment queue?

Asking a commercial client about PO status
When the work is booked but the PO hasn’t arrived.

Common questions
Is a purchase order a contract? Once the seller accepts it (by confirming or by shipping), a PO is generally treated as a binding order on its terms. For services and larger jobs, use a written agreement too. This is general information, not legal advice.
What’s the difference between a PO and an invoice? The buyer sends the PO before delivery; the seller sends the invoice after. The invoice should reference the PO number.
Do I need special software? No. A numbered template, a PO log spreadsheet and a folder per job are enough for most small businesses. Accounting tools like QuickBooks also create POs.
What does Net 30 mean? Payment is due 30 days after the invoice date. “2/10 Net 30” offers a 2% discount if paid within 10 days.
What if a commercial client’s PO doesn’t match my quote? Point out the difference in writing right away and ask for a corrected PO before doing the work.
How to use this template
Copy the standard PO, put your business details and numbering system at the top, and add the terms lines you want on every order. Send a PO for every order over an amount you choose, keep a PO log, and check each supplier invoice against the PO and the receiving report before paying.
For commercial clients, send your vendor setup packet early, ask whether they need a PO before scheduling, and put their PO number on every invoice.
