Work order template for service businesses — 40 copy-paste blocks

A work order turns an approved estimate into clear instructions, and then into a record of what was actually done. This page gives you a full plain-text work order, a one-job short version, versions for a helper or sub and for recurring maintenance, emergency, warranty, diagnostic and punch-list work orders, plus messages, on-site notes, close-out wording, and trade-specific fields. 40 copy-paste blocks in all. No account, no download, nothing to buy.

Sample form only, not legal advice. Some trades and states require permit, license, or disclosure details on paperwork, so check your local rules.

What a work order needs

Work order vs estimate vs invoice

Mistakes to avoid

A worked example

A client texts: “Kitchen sink is slow and gurgles.” The plumber writes work order #1047: snake the drain, replace the P-trap if corroded, test for leaks, flat $185 plus $28 for the trap if needed. The client replies OK.

On site, the tech finds a corroded trap and replaces it. The client also asks for a new bathroom stopper, so the tech adds it as an on-site change for $45 and gets the client’s initials. The findings and times go on the work order before the tech leaves. That night, invoice #1047 goes out for $258 with photos, and nobody has to remember what was agreed.

Numbering, photos and filing work orders

Give every work order a number and reuse it everywhere: on the invoice, in the email subject, and in the photo folder name. “WO 1047” on the invoice means you (and the client’s bookkeeper) can find the original approval and the notes in seconds if there’s a question months later.

Take photos before you start, of anything you find, and after you finish. Name them with the work order number and keep them with it. Photos settle most disputes about damage, extra work, and “it was already like that” better than any wording does.

Keep finished work orders as long as you keep the invoices they support. For tax records, the IRS generally says keep records at least 3 years, longer in some cases. Warranty callbacks and landlord questions also tend to come up within that window. This is general information, not tax advice.

Client wants the price before approving

Reply when the client won’t approve until they see the number.

Totally fair! For work order #1047 the price is $185 for the drain clearing plus $28 for the P-trap, $213 total. If we find anything else once we’re in there, I’ll stop and send you a photo and a price before doing it.

Over the property manager’s approval limit

Many managers set a dollar limit you can do without a call.

Hi Dana, at 214 Elm #3B the faucet cartridge is cracked and the valve body is corroded. Full faucet replacement is $340, which is over your $250 limit, so I haven’t started it. Photos attached. Reply APPROVE and I’ll finish today, or let me know if you’d like to check with the owner first.

Tenant not home for the scheduled access

Document it on the work order and tell the manager the same day.

Hi Dana, we arrived at 214 Elm #3B at 9:00am for work order #1061. Nobody answered, and the lockbox code didn’t work. We waited until 9:20 and left a door tag. Can you confirm a new time and the correct code? The trip charge of $[45] applies per our agreement.

Return visit scheduled (parts arrived)

Tie the new visit to the original work order number.

Good news, Sam: the igniter for work order #1052 came in. I can come back Thursday, Nov 12 between 1 and 3pm to install it. It should take about 30 minutes. Does that time work?

Client asks for a copy for insurance or a landlord

Send it the same day with the photos.

Hi Sam, here’s a copy of work order #1047 with the findings, the parts used, and before/after photos, for your insurance claim. If the adjuster needs anything else, like the invoice or my license number, just let me know.

Close-out to a property manager (with photos)

What a manager needs to close the ticket on their end.

Work order #1061 complete — 214 Elm #3B. Replaced bathroom faucet (Moen 84200), tested, no leaks. Tenant was home and signed off at 11:40am. Before/after photos attached. Invoice #1061 for $340 follows by email. Old faucet hauled away.

Common questions

Do solo service businesses need work orders? Not always, but even a short one (job, time, price, done) helps you bill correctly and answer “what did you do last time?” months later.

Should the client sign the work order? It’s useful for larger jobs and on-site changes. For small jobs, a completion text with photos usually gives you enough of a record.

Is a work order the same as a purchase order (PO)? No. A PO comes from the client (often a property manager or business) to authorize spending. Put their PO number on your work order and invoice.

What if the job costs more than the work order says? Stop and get approval before going over the approved price. See extra work messages and explaining a higher final bill.

Is this a legal document? It’s a sample form, not legal advice. Some trades and states require specific permit or license details on paperwork, so check your local rules.

How to use this template

Copy the full work order into a document or your job app and save it as your starter. Number work orders in order, and reuse the same number on the invoice.

Send the short approval message before scheduling, fill in findings and changes on site, then send the completion text and invoice the same day.
