Cleaning checklist template — 40 copy-paste checklists for cleaning businesses

A written cleaning checklist is how a cleaning business shows clients what they’re paying for and gets the same result from every cleaner. This page explains the difference between standard, deep, move-out and turnover cleans and the mistakes that cause complaints, then gives you 40 copy-paste blocks: room-by-room checklists for each type of clean, add-on tasks with typical times, daily-to-annual schedules, specialty checklists for pet homes, rentals, offices, gyms and more, team quality checklists, and client-facing messages.

Times and product notes are typical examples; follow product labels and any rules for your type of facility.

Why a written checklist matters

For a cleaning business, the checklist is the product. It tells the client exactly what they’re paying for, lets a new cleaner do the same job as a five-year veteran, and turns “it didn’t feel clean” into a specific item you can fix. It also protects your price: a client comparing you with a cheaper company can see that your standard clean includes things theirs doesn’t.

Use one master checklist for each service type (standard, deep, move-out, turnover, office), send it to clients when they book, and give the same list to your team. When a client asks for something special, add it to their client notes so it’s on the list every visit.

Standard vs. deep vs. move-out cleaning

Checklist mistakes

A worked example

A two-person cleaning business got two or three “you missed something” texts a week and lost a recurring client every month. Their standard clean was “kitchen, bathrooms, dust, floors” on the booking page. They wrote out the standard and deep-clean checklists above, sent the “what’s included” message to every client, and started a six-visit rotation of deeper tasks.

Complaints fell to about one a month, usually about an add-on that wasn’t booked, which is easy to explain. Two clients upgraded to monthly inside-fridge add-ons after reading the list. When they raised prices in January, only one client left, because clients could see exactly what each visit included. (See our price increase letter templates.)

Cleaning checklists by type of clean

Room-by-room lists you can hand a new cleaner, print for a client, or paste into your booking app. Edit to match what you actually include and charge for.

Add-on tasks clients can book

List these separately so clients know what is and isn’t in a standard clean. Times are typical for one cleaner.

Inside oven

Most-requested add-on; price it separately.

ADD-ON: Inside oven — about [45–60] min. Racks soaked and scrubbed, interior degreased, door glass cleaned. Self-clean residue removed. Heavy buildup may take a second visit.

Inside fridge

Client should empty or OK tossing expired food first.

ADD-ON: Inside fridge — about [30–45] min. Shelves and drawers removed and washed, interior and gaskets wiped. We don’t throw away food unless you ask us to.

Interior windows

Separate from sills and tracks.

ADD-ON: Interior windows — about [5–10] min per standard window. Glass, frames and sills, inside only. Reachable from the floor or a 2-step ladder; no exterior or second-story outside glass.

Baseboards hand-wiped

Deep clean includes it; standard clean doesn’t.

ADD-ON: Baseboards hand-wiped — about [30–60] min per floor. Standard cleans include a quick dusting of baseboards where reachable by vacuum.

Inside cabinets and drawers

Needs empty cabinets.

ADD-ON: Inside cabinets — about [45–90] min for a standard kitchen. Cabinets must be emptied before we arrive; we wipe shelves, doors and drawer interiors.

Laundry and bed linens

Wash, dry, fold, or just change beds.

ADD-ON: Laundry — [1 load] washed, dried and folded during the clean, about [15] min hands-on. Bed change with fresh linens you leave out: [10] min per bed.

Cleaning schedules by frequency

What to do daily, weekly, monthly and seasonally, for homes and small commercial spaces.

Commercial cleaning frequency schedule

Turns a vague contract into specific tasks.

DAILY: trash, restrooms, kitchen surfaces, touchpoints, spot vacuum
WEEKLY: full vacuum, mop all hard floors, dust surfaces and window sills, glass doors
MONTHLY: baseboards, vents, high dusting, inside microwave and fridge, chair bases
QUARTERLY: interior windows, blinds, light fixtures, deep-clean restroom grout
ANNUALLY: carpet extraction, strip and wax hard floors [quoted separately]

Rotating deep-clean schedule for recurring home clients

Adds one deep task per visit so the home never needs a big catch-up clean.

ROTATION (biweekly client): each visit includes the standard clean plus one rotation task:
Visit 1: baseboards, main floor
Visit 2: ceiling fans, vents and light fixtures
Visit 3: kitchen cabinet fronts and tops

What’s included message

For a new client after booking.

Hi Jordan! Here’s what’s included in your standard clean every two weeks: kitchen and bathrooms cleaned and disinfected, dusting of reachable surfaces, beds made, floors vacuumed and mopped, trash emptied. Not included unless you add them: inside oven, inside fridge, interior windows and laundry. Full checklist attached. Anything you’d like us to focus on?

Prep list before the first clean

Helps the team actually clean instead of tidy.

Before our first visit on Thursday, Nov 12, it helps if you can: pick up clothes, toys and papers from floors and counters; leave sinks empty of dishes; secure pets; and leave out fresh sheets if you’d like beds changed. We’ll take care of the rest!

Quote with the checklist

Makes your price easy to compare with cheaper bids.

Here’s your quote for a deep clean of your 3-bed, 2-bath home: $[340], about [5] hours with a team of two. It includes everything on the attached deep-clean checklist, including baseboards, door frames, vents and ceiling fans. Inside oven and fridge are $[35] each if you’d like them. After that, biweekly standard cleans would be $[160].

Rotation note to a recurring client

Tells them about the extra task each visit.

Quick note: each visit, we add one deeper task from our rotation so nothing builds up. Today was baseboards on the main floor; next time is ceiling fans and vents. No extra charge, it’s part of your recurring service.

Missed item: re-clean offer

Fast, no-argument fix.

Thank you for telling us, Alex, and sorry we missed the shower glass. We’d like to come back and redo it at no charge. Could we stop by tomorrow between 1 and 3? If it’s easier, send a photo and we’ll make sure it’s on the checklist for every visit going forward.

Leave-behind note

A card left on the counter after each clean.

Hi! Today we cleaned: kitchen, 2 bathrooms, bedrooms, living room, floors throughout, plus your rotation task (ceiling fans). Note: [the guest bath faucet is dripping], and we were [low on toilet paper upstairs]. See you on [Thursday, Dec 10]! — [Maria & Ana, Business name]

Common questions

How long does a standard house clean take? Roughly 2 to 3 hours for a two-person team in a tidy 2-bed, 2-bath home; first deep cleans often take 4 to 6. Time your own team on the checklist and price from that.

Should I give clients the full checklist? Yes. It sets expectations and makes your price easier to defend. Keep internal notes (codes, product dilution) on the team version only.

What isn’t included in a standard clean? Usually: inside oven, fridge and cabinets, interior windows, walls, laundry, dishes, exterior areas, and moving heavy furniture. Say so on the checklist.

How often should the deep tasks be done? For recurring clients, a rotation (one deep task per visit) keeps homes at a deep-clean level without a big catch-up bill.

Can I use this checklist for an office contract? Use the office and commercial frequency lists, and put them into your service agreement as the scope of work.

How to use this template

Copy the checklist for each service you sell, delete what you don’t include, and add your own items and products. Put add-ons in a separate list with prices. Send the “what’s included” message and the checklist when a client books, and print the team version for every caddy.

Attach the checklist to your quotes and service agreements so the scope is clear, and use the quality check sign-off on every clean for the first month with a new team member.
