Daily report template — 40 free daily log and end-of-day report examples

A daily report records each work day: weather, people and hours, work done, deliveries, problems and photos. This page explains why it matters, what to include and the mistakes that make reports useless later. Then it gives you 40 copy-paste templates, filled-in examples by trade, messages and logs.

General business information, not legal advice.

What a daily report is

A daily report (also called a daily log, job diary or end-of-day report) is a short record written at the end of each work day: the weather, who was on site and for how long, what got done, what arrived, who visited, and anything that went wrong. On construction jobs the superintendent usually writes it. In a small service business it’s the lead or the tech, often on a phone in two minutes.

It is not a timesheet and not an invoice, though it supports both. It is the record you reach for when a client asks why the job took an extra week, when a supplier disputes a damaged delivery, or when you need to prove a sub didn’t show up.

Why it matters for a small business

What to include

Mistakes to avoid

A worked example

A three-person remodeling company finished a bathroom two weeks late. The client refused the final $3,800, saying the delay was the contractor’s fault. The owner had no notes, only memory.

On the next jobs, the lead filled in a one-page daily report on his phone each afternoon: weather, hours, done, tomorrow, problems, three photos. A client-facing two-line update went out by text at the same time. When a later job ran nine days long, the delay log showed six of those days came from a tile backorder and a client color change, both told to the client by text on the day. The client paid in full, and the change order for the color switch was approved without argument.

How to fill out each part

What to write so the report is useful later, when someone asks what happened on a certain day.

Weather

Weather explains delays and supports extension requests.

Weak: "Bad weather."
Better: "Rain 6:00–10:30 AM, about 0.4 in. Temp 47°F at 7 AM. Exterior siding stopped; crew moved to interior trim. Lost about 3 hours of exterior work."

Manpower and hours

Who was there, for whom, how long.

List each company and headcount, not just your own crew:
"GC: 3 people x 8 h. Drywall sub (Acme): 4 x 8 h. Electrician (Bright Spark): 1 x 3 h (arrived 1 PM, left 4 PM)."
If a sub didn’t show when scheduled, write that too.

Work completed

Location + task + amount.

Weak: "Worked on framing."
Better: "Framed walls in offices 1–3 (about 140 linear ft); set 4 door headers; corridor B ceiling framing 50% done."

Delays and problems

Facts, cause, impact, and what you did.

"Countertop fabricator postponed template from Mon Nov 9 to Wed Nov 11 (their equipment issue). Impact: backsplash start moves 2 days. Told client by text 2:15 PM. No change to finish date yet."

Materials and deliveries

Note shortages and damage the same day.

"Delivered 1:30 PM: drywall 120 sheets 1/2 in. — matched PO #2207. 3 sheets damaged corners (photo 12-04); supplier notified, credit requested."

Inspections and visitors

Who came, why, and the result.

"Framing inspection, inspector [name], 9:15 AM — passed with one note (add blocking at grab bar location, done same day). Owner rep on site 2:00–2:30 PM; walked offices 1–3."

Safety

Record the good days too; "no incidents" is information.

"Toolbox talk 7:00 AM: ladder setup (8 attendees). No incidents. Near miss: unsecured extension cord across stairs at 11 AM — moved and taped."
If there is an injury or damage, fill out a separate incident report the same day.

Photos

Number them and tie them to the text.

"Photo 14-01: north wall uppers installed. 14-02: under-cabinet light boxes. 14-03: cracked cabinet side panel (damage on arrival). 14-04: plumbing rough at sink wall before cabinets."

Daily report messages

Texts and emails that go with the report.

End-of-day text to the client

Short, with photos. Same time each day so they stop asking.

Hi [Sam], quick update for today: upper cabinets are all in and the electrician set the light boxes. Tomorrow we start the base cabinets; the plumber stops by around 10 for 15 minutes. Photos: [link]. Have a good evening!

Weekly email to the client

Every Friday. Done, next, decisions needed.

Subject: Week 2 update — your kitchen
Hi Sam and Alex,
Done this week: all cabinets set, lighting and plumbing rough checked.
Next week: countertop template Monday, appliance delivery Thursday.
Decisions needed: grout color by Wednesday so tile can start on schedule.
Schedule: still on track to finish Friday, Nov 20.
Thanks,
[Name]

Delay notice from the daily report

Send the same day the delay is logged.

Hi [name], a heads-up: the countertop fabricator moved your template from Monday to Wednesday because of an equipment problem on their side. That pushes the backsplash start by two days. Right now the finish date doesn’t change. I’ll update you Wednesday after the template.

Reminder to the crew to submit reports

Make it a habit, not a punishment.

Crew reminder: daily reports are due by 5:00 PM in the app, every day you’re on a job, even short days. Two minutes: weather, who was there, what got done, any problems, 3 photos. They’re how we get paid for delays and extra work. Thanks!

Asking a sub for their daily numbers

GCs need headcount and hours for the log.

Hi [Acme Drywall], for our daily log please text your headcount and hours by 4:00 PM each day you’re on site, plus anything that held you up. Today: how many people and hours at Suite 210?

Inspection result to the client

Good news is worth sending too.

Good news: the framing inspection passed this morning. The inspector asked for one small addition (blocking for the grab bar), which we finished today. Insulation goes in tomorrow and drywall starts Monday.

Rain day message

Explain the plan, not just the stop.

Hi [name], with steady rain today we’re keeping the roof covered and not opening any more of it. The crew is back tomorrow at 7 if the forecast holds. Your home is dried in; we checked the tarps at 3 PM. I’ll text in the morning either way.

Sending a daily report to the office

Flag what needs action.

Daily report for 9 Cedar Ct is in the app. Action needed: (1) replacement upper cabinet — please confirm ETA with supplier; (2) client approved CO #2 by text — please send the formal CO for signature. Everything else on track.

Daily report rules for the company

A one-page policy for staff.

DAILY REPORT POLICY
1. Every lead or solo tech submits a daily report for every job day by 5:00 PM.
2. Minimum: weather, people and hours, work done, problems, 3 photos.
3. Facts only. No blame and no guesses about cause; write what you saw.
4. Any injury, damage or near miss also gets an incident report the same day.
5. Reports are company records. Don’t edit a past report; add a dated note instead.
6. Office reviews all reports each morning and follows up on flagged items.

Common questions

Who should write the daily report? The person in charge on site that day: the superintendent, the lead or the solo tech. The office reviews it, but the person who was there writes it.

Do I need one on small jobs? A short one, yes. Even three lines (who, what, problems) plus photos covers most of the value. Skip it only on one-visit jobs where the work order already records everything.

Paper or app? Either works if it’s done the same day and stored where the office can find it. A shared spreadsheet or form with photo upload is enough for most small businesses.

How long should I keep daily reports? Keep them at least as long as your warranty period and your state’s time limit for contract claims, which is often several years. Many contractors keep them for the life of the business.

Should the client see the daily report? Send a client-facing version with progress, next steps and decisions needed. Keep crew hours, costs and sub problems in the internal version.

How to use this template

Pick the template that matches your work, trim it to what you will actually fill in every day, and put it on the phone your lead already carries. Set a time (for example 4:30 PM) for reports and the client text. Each Friday, roll the week’s dailies into the weekly summary. When something goes wrong, the same report feeds your incident report, change order or punch list.
