Price list template — 41 copy-paste price lists, lines and messages
A clear price list answers “how much?” before anyone has to ask, and brings you clients who already know your range. This page has plain-text price lists and service menus for 21 kinds of service business (cleaning, lawn care, handyman, salon, pet care, pressure washing and windows, tutoring, mobile detailing, contractor unit rates, painting, carpet cleaning, junk removal, movers, pool service, HVAC, gutter cleaning, dog grooming, massage, personal training, appliance repair and commercial cleaning), a 5-minute price check, price updates and membership pricing, the fine-print lines that prevent price arguments, wording for your website, social posts and Google profile, and messages for sending your prices to new leads. 41 copy-paste blocks in all. The prices shown are examples only; set your own.
Example prices only, not pricing, tax or legal advice. Set your prices from your own costs and local market.
Your business name and the year (or a “prices valid through” date), so old copies don’t come back to haunt you.
Your main services with a price or a starting price each. Five to fifteen lines is plenty for most service businesses.
What changes the price: home size, lot size, vehicle size, frequency, condition.
Add-ons with their own prices, so clients can build their own job.
Fine print that matters: minimum charge, travel charge, deposit, payment methods, tax, cancellation.
The next step: “free walkthrough,” “send photos for an exact price,” or a booking link.
Flat, hourly or ranges?
Flat prices work for repeatable jobs (a standard cleaning, a lawn mow, a TV mount). Clients love them, and they reward you for working efficiently.
Hourly rates work for jobs that vary a lot (handyman lists, repairs, leaf removal). Add a minimum and say how you bill partial hours.
Ranges and “from” prices work when condition matters. Be honest: if almost every job ends up at the top of your range, raise the bottom number. A “from $99” that becomes $240 at the door costs you more in trust than it earns in calls.
Most small businesses mix all three. Building the list is also the moment to check your numbers; the markup and labor-rate guide walks through it.
Mistakes to avoid
No date. Clients will quote a three-year-old price list back to you.
Too many line items. If the list needs scrolling on a phone, group it or move rarely used items to “call for a quote.”
Hiding the minimum or the travel charge until the invoice.
Different prices on the website, the booking app and the PDF. Change them all on the same day.
Listing a price you can’t profit on just to look cheaper than a competitor.
A worked example
A one-person cleaning business has been quoting every job from scratch by text. She writes the cleaning price list above: three home sizes, three frequencies, a deep clean, move-out, four add-ons, and a line saying the final price is confirmed after photos or a walkthrough.
She adds it to her website and booking page, saves the “new lead asks for prices” text as a quick reply, and dates the list “2026.” New inquiries now arrive already knowing the range, fewer people disappear after hearing the price, and in January she sends current clients the updated list with 30 days’ notice using the price increase letter.

They want a price without a visit
Give a range based on what they told you.
Without seeing it, I can give you a range: most [bathroom fan replacements] like the one you described run $[180–260], depending on the wiring and attic access. If you send two photos (the fan and the attic hatch), I can narrow it down to a firm price.
“Is that your best price?”
Hold the price and offer a way to pay less.
That’s my standard rate, and it’s what lets me do the job properly. If you’d like to bring the cost down, I can [skip the inside windows / do every other week instead of weekly], which would be $[__].

Wondering what a [house cleaning] costs? Most 3-bed, 2-bath homes are $175–$215 per visit, and first deep cleans start at $280. Full price list and online booking: [link]. Serving [town] and nearby.
Google Business Profile service description
Keep each description short and factual.
Standard house cleaning for homes in [town]. Weekly, every 2 weeks or monthly. 3-bed, 2-bath homes from $[175]. Supplies included. Free walkthrough for an exact price.
Before you print it: a 5-minute price check
Work out what one hour really costs you. Add up a month of costs that don’t depend on the job (insurance, phone, software, vehicle payment, advertising) and divide by the hours you actually bill, not the hours you work. A solo cleaner with $[1,100] a month in fixed costs who bills 100 hours carries $[11] of overhead in every billed hour before wages or supplies.
Then add labor, supplies and travel, and a margin. Example: $[22] an hour in wages (or what you want to pay yourself), about 10% on top for payroll taxes and workers’ comp if you have employees, $[3] an hour in supplies, $[11] overhead. That is about $[38] an hour of cost. Charging $[45] leaves about 15% for profit, slow weeks and growth; charging $[38] means you are working for wages only.
Convert to the way clients buy. If a standard 3-bedroom clean takes 3 hours for one person, the flat price at $[45] an hour is $[135]. Round to a number that sounds deliberate ($[135] or $[140], not $[133.50]).
Check it against the market once, not every week. Look at 3–5 local competitors’ public prices. Being 10–15% above the middle is fine if your page explains what’s included and your reviews back it up. Being the cheapest is a position you can only hold by working more hours.

Common questions
Should I put prices on my website? For repeatable services, usually yes: clients who see a price and still call are much more likely to book. For custom work, show starting prices or ranges and explain what changes them.
How is a price list different from an estimate? A price list shows your standard rates to everyone. An estimate prices one specific job for one client.
How often should I update my price list? Once a year is common, often in January. Give current clients notice before new prices apply to them.
Should I show “from” prices or exact prices? Exact where you can, “from” where condition really changes the job, and always say how you confirm the final price.
Do I need to include sales tax? It depends on your state and service. Say clearly whether prices include tax. Not tax advice.
How to use this template
Copy the price list closest to your business, replace the example prices with your own, and add the fine-print lines that apply. Paste it into your website, a one-page PDF and your booking app, all with the same date.
Save the “new lead asks for prices” message as a quick reply, and send the updated list to current clients with notice when prices change.
