A refund message should answer three things up front: how much, how it’s coming back, and when they should see it. Clients mostly worry the money disappeared, so give them a realistic window and an easy way to check in. Skip the long apology if you already made things right; the amount and the timing matter more.
Card and app refunds often take several business days to show up. Give a range you can stand behind instead of promising “today.”
When to use this
A visit was canceled on your end after they prepaid.
You charged too much or double-charged by mistake.
You’re giving a partial refund to settle a complaint.
Not for apologizing first — use Make it right, then send the refund text.
Full refund sent
Canceled on your end.
Hi Alex — I’ve refunded the full $120 to the card you paid with. It usually shows up in 3 to 5 business days. Sorry again for the change in plans.

Hi Jordan — as we discussed, I’ve sent a $60 refund for the part of the job that wasn’t up to standard. It should reach your account within a few business days.
Charged twice by mistake
Fixing an error.
Hi Alex — I saw you were charged twice for Tuesday. That was my mistake. I’ve refunded the extra $85, and you should see it back in a few days.
Refund by app or check
Different method.
Hi Jordan — your $40 refund went out by Venmo just now. If you’d rather have it another way, let me know and I’ll switch it.
They haven’t seen it yet
Follow-up.
Hi Alex — the refund was sent on Monday, so it may take a couple more business days to post. If it isn’t there by Friday, send me a screenshot and I’ll check on it.
How to send it
Copy one message, swap in the real name and details, and send from your own phone or email.
Keep it to a few sentences. If they need a different topic, use a Related link below instead of mixing two subjects in one text.
