Invoice email template & text to send with an invoice

The invoice itself holds the numbers; the message that goes with it decides how fast you get paid. A good invoice email or text says what the bill is for, the total, when it’s due, and exactly how to pay — in a few lines. This page covers when to send it, what to include, subject lines, mistakes that slow payment, a worked example, and 30 copy-paste invoice texts and emails — including payment options, deposits, monthly billing, trade-specific versions, and how to send a corrected invoice.

Names like Alex and Jordan are stand-ins. Use your real invoice number, amount, due date, and payment link. Never text full card or bank numbers — send a payment link or app handle instead.

Mistakes that slow payment

A worked example

Jordan finishes a deep clean for Alex on Tuesday afternoon. She sends a two-line “all done” text with a photo of the kitchen, then creates invoice #1042 for $180 in her invoicing app, which emails it automatically.

Ten minutes later she texts: “Hi Alex — invoice #1042 for today’s deep clean is in your email ($180, due by next Tuesday). You can pay by card through the link, or Zelle to (555) 010-0123 with ‘Oak St’ in the memo.” Alex pays by Zelle that evening.

The next morning Jordan realizes she charged the oven add-on twice. Before Alex notices, she sends the corrected-invoice text below with the new total and a $25 refund of the difference. A mistake caught by you reads as honesty; the same mistake caught by the client reads as carelessness.

Payment options: how to pay you

Clients pay faster when they don’t have to ask how. List the ways you take money, the exact handle or payee name, and what to put in the memo so you can match it.

The ways you take payment

New client.

Hi Alex — for payment, I take Zelle, Venmo, or a card through the invoice link. Zelle and Venmo go to (555) 010-0123. Please add your street name in the note so I can match it.

Payment link

Card only.

Hi Jordan — here’s the link to pay by card: [link]. It takes about a minute, and you’ll get a receipt by email.

Cash or check on the day

In person.

Hi Alex — cash or a check made out to [Your Business Name] is fine. You can leave it on the counter if you won’t be home.

No more checks

Changing methods.

Hi Jordan — quick update: starting next month I’m no longer taking checks. Zelle, Venmo, or card through the invoice all work great.

What to put in the note

Matching payments.

Hi Alex — when you send it, could you put “Oct 14 cleaning” in the memo? It helps me keep everyone’s payments straight.

Payment options email

Put it in writing once for new clients.

Subject: How to pay [Business name]

Hi Alex,

Here are the easiest ways to pay your invoices:

• Card or bank transfer: use the link on each invoice
• Zelle or Venmo: [phone/handle] — please add your street name in the memo

Payment is due within 7 days of each invoice. Thanks!

Photographer / creative

Balance before delivery.

Hi Jordan — your gallery is edited and ready. The final invoice ($450 balance) is in your email; I’ll send the download link as soon as it’s paid.

Pet sitting / dog walking

Prepay before the dates.

Hi Alex — invoice for your Dec 20–27 trip is in your email ($280 for 8 visits). Please pay by Dec 15 to lock the dates.

Did the invoice arrive?

Invoicing tools often land in spam. A quick check two or three days later is not a payment reminder — it’s delivery confirmation.

Did the invoice come through?

Two days, no reply.

Hi Jordan — just checking the invoice from Tuesday ($180) landed in your inbox and not spam. Happy to resend or text the link.

Resend by text

It went to spam.

No problem — here’s the pay link directly: [link]. Amount is $180 for Tuesday’s clean.

Wrong email address

It bounced or went to an old email.

Hi Alex — the invoice email bounced. What’s the best address for invoices? In the meantime, here’s the link: [link].

Send a corrected invoice

Typos, double-counted hours, or a missed discount happen. Own it in one short message, state the old total and the new one, and say which version to pay. If they already paid the wrong amount, say how the difference comes back.

Wrong amount fixed

You caught it first.

Hi Alex — quick correction. The invoice I sent this morning showed $480 by mistake. The correct total is $420. I’ve resent it with the right amount. Sorry for the mix-up.

Credit applied

Discount or goodwill credit.

Hi Jordan — I’ve applied a $50 credit for the delay on Tuesday. New total is $275 (was $325). Updated invoice is on its way. Thanks for your patience.

Resent the invoice

They asked for a clean copy.

Hi Alex — just resent the corrected invoice to this email. Subject line is “Invoice 1042 — corrected.” Please ignore the earlier one for $510; the new total is $465.

Apology plus new total

They pointed out the error.

Hi Jordan — you’re right, I double-counted the travel fee. Sorry about that. Corrected total is $190 instead of $230. New invoice attached / resent. Please pay the $190 version only.

Confirm they got it

Close the loop after resending.

Hi Alex — did the corrected invoice for $420 come through okay? If it landed in spam or you need it resent another way, just say the word. No rush on payment until you’ve got the right one.

Corrected invoice email

A clear record of the fix.

Subject: Corrected invoice #1042 — replaces earlier version

Hi Alex,

I made a mistake on the invoice I sent this morning: the oven add-on was charged twice. Sorry about that.

Original total: $205
Corrected total: $180

The corrected invoice is attached. Please disregard the earlier version. If you already paid $205, I’ve refunded the $25 difference to the same card — you’ll see it in 3–5 business days.

Thank you,
[Your name]

How to send it

Create the invoice first, then copy one message and fill in the real job, date, invoice number, total, due date, and payment link. Send the text from the phone the client already knows, or the email from the same address the invoice came from.

Keep the payment instructions in the body of the message, not only in the attachment. If the total changed from the quote, explain why before or with the invoice. When the money lands, close the loop with a short payment received note.
